What is a project proposal format?

A project proposal format is the standard order of sections in a proposal for client work: title, executive summary, background, objectives, scope, approach, timeline, budget, team, risks, terms and acceptance.

Agencies, freelancers and consultants send a project proposal after the first conversation to win a specific piece of work. It explains what you will deliver, how, when and for how much, and gives the client a clear way to say yes.

  • Usually 2 to 6 pages for client work
  • Budget and timeline are the sections clients read first
  • State what is out of scope as well as in scope
  • Free Word and PDF templates, no email required
  • Ends with a clear way to accept

How to Write Each Section

What to put in each part of the format, with an example line.

Executive summary

Write it last, in three sentences: goal, recommendation, result. Example: "We propose a new website with an online store, delivered in 8 weeks for ₹2,40,000."

Background and problem

Show you understand the client's situation in their words. Example: "Most orders arrive as Instagram messages."

Objectives

Make each objective checkable. Example: "Let customers order online without contacting the team."

Scope and deliverables

List outputs, with quantities, and an out-of-scope line. Example: "Product upload for the first 60 products."

Timeline

Group the work into phases with weeks or dates. Example: "Weeks 3 to 4: design of key pages."

Budget

Price by phase so the total is easy to check, and state payment terms. Use the project budget calculator to build it.

Risks and assumptions

Say what you need from the client and by when. Example: "Product photos by week 4."

Acceptance

End with one clear action. Example: "Sign below and we will send the contract and first invoice."

Common Project Proposal Mistakes

  • No out-of-scope line, so every extra request becomes a negotiation.
  • A single price with no breakdown, which invites the client to question it.
  • Objectives nobody can measure, such as "improve the brand".
  • Assumptions left unsaid, such as when the client will supply content.
  • No way to accept. End with a signature line or an online acceptance link.
