What is a proposal template in Word?

A proposal template in Word is an editable .docx proposal with the standard sections already laid out, so you write about the client's project instead of designing a document from scratch.

Each template uses Word heading styles for its sections, so you can add a table of contents in one click and move sections around in the Navigation Pane. Pricing sits in a table with options the client can tick, which makes saying yes easier than reading one lump sum.

  • Opens in Word, Google Docs, Apple Pages and LibreOffice
  • Heading styles, so a table of contents builds itself
  • Pricing table with options and a "Selected" box
  • Acceptance block for both sides
  • Free for commercial use, no email required

How to Write a Proposal in Word

1

Open the template and save a copy

Download the .docx, open it in Word and use File > Save As to save a copy named after the client.

2

Write the executive summary last

Fill in the problem, solution and pricing first. Then summarise them in three sentences at the top.

3

Paste the scope

Copy the deliverables from your notes or scope of work, and add an out-of-scope line.

4

Fill the pricing table

Enter each option and price. Need another row? Click in the table and use Table Layout > Insert Below.

5

Add proof and a table of contents

Insert a case study image with Insert > Pictures. For longer proposals, add References > Table of Contents; it uses the heading styles.

6

Save as PDF or share online

Use File > Save As > PDF and email it, or send it from Taskip so the client can accept and sign online.

Proposal vs Quotation vs Contract

Three documents that follow each other in a sale.

DocumentWhat it doesWhen to send it
ProposalExplains the approach and options to win the workAfter the first call, before the client decides
QuotationGives a fixed price for an agreed scope. See the quotation format in WordWhen the client already knows what they want
Scope of workDetails deliverables and responsibilities. See the agency scope of work templateOnce the proposal is accepted
ContractSets the legal terms both sides sign. See the contract template in WordBefore work starts

Tips for Proposals That Win

  • Offer two or three options. Clients compare your options instead of comparing you with other suppliers.
  • Lead with the client's problem, not your company history.
  • Set a valid-until date so old prices cannot be held against you.
  • Make accepting easy: a ticked option and a signature, or e-signature online.
  • Follow up three days after sending. The follow-up email generator drafts the message.
  • Short on time? The AI proposal generator drafts every section and exports to Word.

Proposal Template in Word FAQs

Does Word have proposal templates?

Word has a few proposal designs under File > New if you search for "proposal". The templates on this page are free .docx files with the full set of sections, a pricing table and an acceptance block, with no Microsoft account needed.

How do I make a proposal in Word?

Open a proposal template, replace the bracketed placeholders, fill in the scope and pricing table, write the executive summary last, then save it as a PDF and send it.

What should a proposal include?

An executive summary, the client's problem, your solution and scope, deliverables, a timeline, pricing options, proof such as a case study, terms and validity, and a place to accept.

How long should a proposal be?

As long as the decision needs and no longer. Two to five pages suits most client projects; use the one-page template for small jobs.

Can I open these proposal templates in Google Docs?

Yes. Upload the .docx to Google Drive, then right-click and choose Open with > Google Docs. The tables and headings keep their layout.

Are these proposal templates free?

Yes. Download and use them for your own clients with no signup, no watermark and no attribution required.

Should I send a proposal or a quotation?

Send a proposal when you still need to explain your approach and win the work. Send a quotation when the client already knows what they want and only needs the price.

Who makes these templates?

Taskip, client management software for agencies and freelancers. Taskip handles proposals, quotes, contracts, invoices, a client portal and projects in one place.
