What is a construction quotation?

A construction quotation template is a ready-made quote for building and trade work that itemizes labor, materials, equipment and permits so the client can compare bids and approve the job.

Homeowners, property managers and general contractors usually collect several quotes before hiring. The quote that wins is rarely the cheapest; it is the one that makes the price easy to trust. A construction quotation template gives you that structure: the site and scope, a line for every cost, what is included and excluded, how changes are priced, and when each payment is due.

  • Used by builders, remodelers, electricians, plumbers, roofers and subcontractors
  • Separates labor, materials, equipment and permits
  • Usually valid for 7 to 30 days because material prices move
  • Often includes a contingency, payment stages and change order terms
  • Becomes part of the contract once the client signs

How to Price a Construction Quote

A simple, repeatable method most contractors use.

1

Visit the site and measure

Confirm access, existing conditions and quantities before you price anything.

2

Break the job into tasks

List every task in the order it will happen, from preparation to cleanup.

3

Price labor

Estimate hours or days per task and multiply by your labor rate for each trade.

4

Price materials with waste

Take off quantities and add a waste allowance, commonly 5% to 10% depending on the material.

5

Add equipment, subs and permits

Include hire costs, subcontractor quotes, permits, disposal and cleanup.

6

Add overhead, profit and contingency

Apply your overhead and profit markup and a contingency for unknowns, then set the payment schedule and validity date.

Construction Quote vs Estimate vs Bid

EstimateApproximate, can changeEarly conversations, before the scope is final

Quote Tips by Trade

Remodeling & renovation

Price room by room and show a contingency line. Older buildings hide surprises behind walls, so explain how you handle them.

Electrical

Separate rough-in and finish stages, list fixture allowances, and state whether inspection fees are included.

Plumbing

Quote fixtures as allowances or named models, and note what happens if old pipework needs replacing.

Roofing

Price per square or per square metre, include tear-off and disposal, and add a weather clause for delays.

Painting & decorating

State the number of coats, prep work included, and whether the client supplies paint.

Landscaping

Separate one-off installation from recurring maintenance, and quote plants and materials with quantities.

Construction Quotation Template FAQs

What should a construction quote include?

Your business, licence and insurance details, the client and site address, a clear scope of work, itemized labor, materials, equipment and permits, a contingency, exclusions, a payment schedule, a validity date and how change orders are priced.

How long should a construction quote be valid?

Most contractors use 7 to 30 days. Keep it short when material prices are volatile, and state that prices may be reviewed after the validity date.

What is retainage in a construction bid?

Retainage is a percentage of each payment, often 5% to 10% on commercial work, that the client holds back until the job is complete and any snags are fixed. The contractor bid template calculates it for you.

Should I show my markup on a construction quote?

You do not have to show overhead and profit separately on a quote to a homeowner. On bids to general contractors or on cost-plus work it is common to show it. The contractor bid template has it as a separate line you can hide.

Is a construction quote legally binding?

Once the client accepts it in writing, a quotation is generally treated as a binding agreement for the stated scope and price. That is why exclusions, validity and change order terms matter. This is general information, not legal advice.

What is the difference between a construction quote and an estimate?

An estimate is an approximate price that can change. A quote is a fixed price for a defined scope, valid until a stated date.

Can I create a construction quote online?

Yes. The free quotation generator builds an itemized quote with tax, discount and optional items and exports a PDF, no signup needed.
