A quotation template is a pre-formatted quote document you fill in with your own prices, so every quote you send looks professional and includes everything a client needs to say yes.

A quotation template (also called a quote template or price quote template) already has the standard quotation format laid out: your business details, the client's details, a table for line items, the subtotal, tax and total, your terms, and an acceptance line. How long should a quotation be valid?

15 to 30 days is typical for services. Use 7 to 15 days for goods, travel or construction materials whose prices move quickly, and up to 60 or 90 days for large tenders. Always write an exact "valid until" date, not just "30 days".

Is a quotation legally binding?

A quotation is an offer. Once the client accepts it in writing, by signing the acceptance line or confirming by email, it is generally treated as a binding agreement for the listed scope and price. Clear terms protect both sides. General information, not legal advice.

How to Fill In a Quotation Template

Add your business details

Replace the placeholders with your business name, address, contact details and tax number. Add your logo at the top.

Add the client company, the person you are quoting and their address.

Give it a unique quotation number, today's date and a "valid until" date, usually 15 to 30 days out.

List every line item

One row per product, service or phase, with quantity and unit price. In Excel the amounts and totals calculate for you.

Set the discount, tax rate and payment terms, then save the file as a PDF and email it to your client.

How the Excel Quotation Format Calculates Your Totals

The Excel quotation templates use simple formulas you can check yourself. Yellow cells are the ones you type in; grey cells calculate on their own, so do not overwrite them.

  • Line amount = Quantity x Unit price. Empty rows stay blank instead of showing zero.
  • Subtotal = the sum of every line amount.
  • Discount = Subtotal x Discount %. Tax is then calculated on the subtotal after the discount.
  • Total = Subtotal minus discount, plus tax.
  • Service template: enter hours and a rate, or a fixed fee. A deposit line shows what is due on acceptance.
  • Construction template: pick a category on each line and the summary totals labor, materials, equipment and permits separately.

GST Quotation Format for India

If you are GST-registered, your quotation should show the tax the buyer will pay, split the way it will appear on the final tax invoice. The GST quotation format template is set up for this.

  • Your GSTIN, state and state code in the header, and the client's GSTIN (or "Unregistered") in the bill-to block.
  • An HSN code for goods or a SAC code for services on every line.
  • Choose "Intra-state" to charge CGST + SGST (half the GST rate each) or "Inter-state" to charge IGST at the full rate. The Excel version switches automatically.
  • Add the place of supply and the grand total in words, as most buyers expect.
  • A quotation is not a tax invoice. Once the client accepts, issue a GST tax invoice with the free invoice generator.

6 Tips for Quotes That Get Accepted

  • Always fill in a "valid until" date. Open-ended quotes get renegotiated weeks later at old prices.
  • Number every quote in sequence (QT-0001, QT-0002) so you can match it to the invoice later.
  • Split the price into line items. A single lump sum invites the client to question it.
  • Show optional extras as separate lines so the client can add them without a new quote.
  • Write the payment terms plainly: deposit amount, when the balance is due, and how to pay.
  • Send it as a PDF, not an editable file, so the numbers cannot change after you send it.

What is the GST quotation format?

A GST quotation shows your GSTIN, the client's GSTIN if they are registered, the place of supply, an HSN or SAC code for each item, the taxable value, and the GST split as CGST and SGST for intra-state supply or IGST for inter-state supply. It is a quotation, not a tax invoice, so you still issue a GST tax invoice once the client accepts.

Is a quote template the same as an estimate template?

They look similar, but a quote gives a fixed price the client can accept, usually valid for a set period, while an estimate is an approximate, non-binding figure given before the full scope is known. Use a quotation template when you are ready to commit to a price.
