What's a good utilization rate for a freelancer?
60-80% is typical for solo freelancers once you account for admin, sales, and client communication. It varies by field: agencies with dedicated sales/ops teams often run 75-85%, consulting firms range 70-85% depending on seniority, and roles with heavier non-billable overhead (like law) often run lower, sometimes in the 35-45% range. Below 50% for a solo freelancer usually signals too much non-billable overhead relative to client work.
Why is my 'true hourly earnings' lower than my stated rate?
Your stated rate only applies to billable hours. True hourly earnings spreads your total revenue across every hour you actually worked, including unpaid admin and sales time, so a $75/hr rate at 67% utilization works out to about $50/hr in reality.
How do I improve my utilization rate?
Reduce time spent on non-billable admin (batch it, automate it, or delegate it), or convert more of your working hours into invoiced client work: either raises the ratio of billable to total hours.
What counts as non-billable time?
Admin work, unpaid proposals and sales calls, internal meetings, marketing, and any client work you didn't invoice for, anything you're working on that isn't generating revenue that period.
How does this calculator annualize my numbers?
If you select 'Week' as the period, it multiplies your weekly revenue by your number of working weeks per year (default 48, adjustable) to project an annual figure.
Should I raise my rate if my utilization is low?
It depends: if low utilization comes from too much unpaid admin time, fixing that directly recovers more income than raising your rate. If you're already efficient and simply don't have enough billable work, raising rates or finding more clients matters more.
